How Keen Shift Pty Ltd handles information used to operate Packbind.

Who is responsible

Keen Shift Pty Ltd (ABN 52 700 047 721, ACN 700 047 721) provides Packbind. A customer organisation controls the client documents and lending information it places in its workspace; Keen Shift processes that information to provide and secure the service.

Information handled

Packbind may handle account and workspace details, documents a permitted user uploads, proposed values transcribed from those documents, source-page regions, human review decisions, audit events, and limited technical and security logs.

Why it is handled

The information is used to provide document intake, transcription, evidence review, evidence packs, support, security, and any optional integration the customer enables. It is not used by Packbind to make credit or eligibility decisions.

Access, disclosure and retention

Workspace access is scoped to authorised users and their organisation. Service providers may handle information only where needed to operate and secure the service. Primary application storage is in Australia. Current production document objects become eligible for automatic expiry under a fixed 30-day lifecycle rule, and Packbind does not promise their availability after that point. Database records, backups and limited audit records follow separate controls documented during onboarding and in the customer agreement.

The workspace retention control records a database schedule; it cannot make document objects expire earlier or pause their automatic expiry for a legal hold. A customer that requires earlier object deletion or preservation under legal hold must not place real documents in Packbind until Keen Shift confirms a supported arrangement in writing.

Overseas disclosure

To provide document transcription, selected document pages and their contents are likely to be disclosed to a contracted artificial-intelligence processing provider in China. Keen Shift assesses that provider and takes reasonable contractual and technical steps intended to protect the information consistently with the Australian Privacy Principles, including the cross-border disclosure requirements in APP 8. Current processing locations and subprocessors are confirmed with each production customer during onboarding and when they materially change.

Requests and concerns

Contact Keen Shift to ask about access, correction, deletion, or a privacy concern. Do not send client documents or sensitive personal information by ordinary email. We will acknowledge a privacy complaint and explain the investigation and response process. If a matter is not resolved, you may contact the Office of the Australian Information Commissioner.
